Littlehampton Musical Comedy Society

The society shall be managed by a Committee of between 9 and 13 members consisting of amongst others:- Chairman; Secretaries or Joint-Secretaries; Treasurer; Patrons' Secretary; Acting Members' Representative; Publicity Manager; Librarian. 

All Officiers and Members of the Committee shall be elected at the Annual General Meeting. 

If all vancancies shall not be filled at such meeting, or any casual vancacy occur, they shall be filled for the time being by resolution of the Committee.

Chairman, 

The society chairman resigned before the AGM, until then the Vice-Chair Kelly Manchee will be acting Chair. 

Vice Chair, Kelly Manchee

The Vice Chair is responsible for supporting all committee including the Chair person in their roles. In the event the Chair Person is unavailable the Vice Chair should deputise on their behalf.

Treasurer, Penny Rendell

The Treasurer is responsible for maintaining the management of the society funds. This will include the day to day running expenses such as rent, bank accounts, insurance and associated fees, as well as the income expenditure from each production. It is the Treasurers responsibility to maintain and prepare accounts for presentation to the accountant for members at the AGM.

Society Secretary, Sonia Heryet

Objective of the Society Secretary is to provide administrative support to the committee and the society, to arrange and call committee meeting and A.G.M. and to facilitate the recording and publication of minutes for each meeting with copies going to committee and support roles within agreed times scales prior to the next meeting.

To efficiently respond to incoming correspondence and send out written correspondence on behalf of the committee e.g. production appointment letters, invites for V.I.P’s etc.

Provide point of contact from the committee to the roles of “Theatre Liaison Officer and Licensing & Liberian Officer”

Membership Secretary, John Carroll

To maintain membership records including names, addresses, contact numbers and e-mail for existing adult, junior members and Life Members. Record length of service for acting members and arrangement of NODA long service awards. To collect the appropriate membership fee and show fees. To provide communication to the members in the form of a regular news letter (frequency and method to be agreed by committee) to prepare application forms and assist with new members auditions and to provide support to new members. To be a point of contact for new members enquires.

Provide liaison for the Youth Committee representative and a representative for all members on the committee.

Patrons Secretary, Catherine Robinson

To maintain Patron records including names, addresses, contact numbers and e-mail. To collect the appropriate Patrons fees. To provide communication to the Patrons and Life Members in the form of a regular news letter (frequency and method to be agreed by committee) to actively promote and encourage new patrons to the society. To be a point of contact for Patrons enquires.

Publicity Officer, Billy Blanchard-Cooper

Arrange design of show Imagery (Poster, handbill, program cover, etc.) having liased with committee on ticket prices, show dates, right holder information, etc. Obtain proof and printing costs from supplier for approval by committee.

Arrange press coverage for advance publicity and reviews, to coordinate photo shoots for press and society use and for inclusion in programs and display boards.

To coordinate media interest via Radio, TV and Internet (Including Facebook, Website, etc.)

Organise photo display board for theater foyer.

Provide point of contact from the committee to the roles of Program Designer, Publicity Assistant, box Office & FOH

Wardrobe Coordinator, Currently Unfilled

Arrange day to day running of the society wardrobe, coordinating hiring and loan of costumes to other organisations and being a general point of contact for costume enquiries. Liaise with Show Costumier for each production for all costumes as required.

Production Coordinator, Amelia Whittle

Act as coordinator and first point of contact between committee and all production roles, to attend production meetings and support director for each production. Monitor and update the production checklist for each production and feedback production progress to committee.

Social Events Officer, Currently Unfilled

The Social events officer is responsible for the social calendar for the society, this involves scheduling events which should include a minimum of an after show party for each of the main shows and one summer and one winter event of a suitable nature that members of all ages can attend. These should be organized with good time allowed for the Membership Secretary to include details in the appropriate Members News Letter.

Events should ideally not cost the society money as all costs are to be covered by tickets/ entry fees unless approved by committee.

The Social Events Officer can delegate tasks as appropriate in order to organize the events.

The Social Events Officer is to also coordinate the society’s involvement in local community events such as pancake Olympics etc.
